District Admins, Building Admins and Staff Users can interact with the Visitor Profile to view Information and Visit History. They can also perform needed actions, such as check the visitor in, add notes (including custody notes), instructions and add any needed attachments.   To access the Visitor Profile, follow the below steps:

  1. Log into Visitor Management as a District Admin, Building Admin or Staff User 
  2. By default, the user is on the Visitors page.
  3. Search for and select the needed Visitor Name

Visitor Profile 

Visitor Information

Visitors

Users will see the below information on the top of the Visitor Profile:

  1. Visitor Name
    1. Captured from Visitor Check-in
  2. Email
    1. Email will be added if the visitor is invited to use the Visitor Check-in mobile app and created an account.
    2. Users can also manually add or edit the Email by clicking on the Edit Pencil icon
  3. Date of Birth
    1. Captured from Visitor Check-in
  4. Mobile Number
    1. Captured from Visitor Check-in
    2. Users can also manually add or edit the Mobile Number by clicking on the Edit Pencil icon
  5. Students 
    1. Associated students are linked as part of the SIS sync process after the first Visitor Check-in. 
    2. Users can also manually add an associated student by clicking on the +Add Student button. 
  6. Custody Instructions
    1. Only displayed if Custody Instructions are added in the Notes and Instructions Actions workflow

Sex Offender Message

Users will see Sex Offender Match Confirmed on a Visitor Profile if a visitor attempted to check in and was confirmed as a Sex Offender.

 

Blocklisted Visitors

If the Visitor is blocklisted, users will see the below information with a warning message stating the Visitor is blocklisted, including the reason and the date. Users will also be able to notify the security team directly from the Visitor Profile, if needed.

  1. Visitor Name
    1. Captured from Visitor Check-in.
  2. Email
    1. Email will be added if the visitor is invited to use the mobile app and created an account.
  3. Date of Birth
    1. Captured from Visitor Check-in.
  4. Mobile Number
    1. Captured from Visitor Check-in. User can also enter directly on the Visitor Profile by clicking the pencil icon.
  5. Students 
    1. Associated students are linked as part of the SIS sync process after the first Visitor Check-in. Users can also manually add an associated student by clicking on the +Add Student button. 
  6. Custody Instructions
    1. Only displayed if Custody Instructions are added in the Notes and Instructions Profile Actions workflow.
 
 

Profile Actions

Visitors

Users will be able to perform the below actions directly from the Visitor Profile:

  1. Check-in
    1. User is able to check in the visitor.
      1.  To learn more about the staff-assisted visitor check-in process, click here.
  2. Check-out
    1. If the visitor is already checked in, Check-out will display. 
    2. User can check the visitor out.
  3. Send SMS
    1. If a mobile number has been added to the Visitor Profile, the user will be able to send an SMS text message to the visitor. The message has a 255 character limit. 
  4. Notes and Instructions
    1. User is able to click on +Add Note button and add the needed note text. If there any students linked to the visitor, the user can link the note to the needed students for the note to also display on the Student Profile. The user can also mark as a note as a Custody Instructions. If so, the text in the Custody Instructions note will display on the Information section and on the linked Student Profile. 
  5. Attachments
    1. User is able to upload files associated with the Visitor. Supported formats: docx, doc, pdf, eml, msg, jpeg, txt, rtf, or odt. If there any students linked to the visitor, the user can link the attachment to the needed students for the attachment to also display on the Student Profile.
  6. Notifications
    1. If the visitor has at least one Student linked to their profile, users will be able to view and manage the visitor's Guardian Notification preferences.
      1. The visitor will also need to have a valid Email Address, Mobile Number, or both saved to their profile in order to select the preferred delivery method
    2. User is able to enable Late Check-in and Early Check-out notification types for all linked students and select the preferred delivery method, Text/SMS or Email, individually for each student linked to the profile.
  7. Send Mobile App Invitation
    1. User can click the ellipsis on the Visitor Profile and click Send Mobile App Invitation for the invite to be sent automatically. A mobile number needs to be added to a Visitor Profile before a mobile app invitation can be sent. 
  8. Blocklist Visitor
    1. User can click the ellipsis on the Visitor Profile and select Blocklist Visitor. User will need to state the reason for blocklisting the visitor and can also add any additional notes. Date Added will default to current date. Once all information is added, user can click Blocklist Visitor.
  9. Delete Visitor
    1. User can click the ellipsis on the Visitor Profile and select Delete Visitor. While the visitor profile will be deleted, their visitor history will remain accessible. To confirm the deletion of the visitor, user can click Delete Visitor.

Blocklisted Visitors

If the Visitor is blocklisted, users will be able to perform the the actions:

  1. Notes and Instructions
    1. User is able to click on +Add Note button and add the needed note text. If there any students linked to the visitor, the user can link the note to the needed students for the note to also display on the Student Profile.     1. User can click the ellipsis on the Visitor Profile and select Delete Visitor. While the visitor profile will be deleted, their visitor history will remain accessible. To confirm the deletion of the visitor, user can click Delete Visitor.

If the Visitor is blocklisted, users will be not be able to perform the the actions:

  1. Check-in
    1. Blocklisted Visitors cannot be checked in.
  2. Send Mobile App Invitation
    1. Blocklisted Visitors cannot be sent a mobile app invitation. If they were sent a mobile app invitation prior to being blocklisted - they will no longer be able to use the mobile app.

Users will be able to view the below information directly from the Visitor Profile:

  3. Check-out Time
  4. Association
    1. Will display the person selected in the check-in for the visit
  5. Visitor Type
  6. Reason for Visit
  7. Destination
  8. Building

Blocklisted Visitors

Users will be able to see any of the existing data:

Guardian Check-in & Check-out History

This tab will only display on Visitor Profiles when the Guardian persona setting has been enabled on the Self-Serve Setup page by an Admin (Click here to learn more).

 

Users will be able to view the below details for every Guardian-initiated student late check-in and early check-out performed by the visitor (including blocklisted visitors):

  1. Event Type
    1. Early Check-out or Late Check-in
  2. Date/Time
    1. Date and Time of the listed Event
  3. Student
    1. Linked student that the event was initiated for, by the Guardian
  4. Student ID
    1. Identification number linked to the student
  5. Reason
    1. Reason selected for the student event
  6. Building
    1. The building that the student event took place

Note: The student event details displayed are for all students linked to the Visitor Profile, including students from different buildings.
