Volunteer Management Enhancements
The below enhancements require the Volunteer Management add-on subscription to Visitor Management. Please contact your Account Manager if you would like to learn more about Volunteer Management.
Volunteer Application Enhancements
Application Expiration Settings:
District Admins and District Volunteer Coordinators will have the ability to enable a new Volunteer Application Expiration workflow that includes:
- Custom Expiration Settings: Choose between a flexible date range (up to 5 years and 11 months) or a specific calendar date for application expirations.
- Custom Email Templates & Timing: Configure expiration notification emails with fully customizable content and select when (30, 60 or 90 days) reminders are sent to volunteers
- Clear Visibility for Staff & Volunteers: Expiration dates will be visible on both the Volunteer Profile in Visitor Management and the Volunteer Portal.

Seamless Renewal Workflow: Volunteers will be able to submit renewal applications directly from the expiration email or through the Volunteer Portal.
Manually Send Application Renewal Emails:
When the Volunteer Application Expiration workflow is enabled, all users will be able to manually send Application Renewal emails to approved volunteers as needed. These emails can be sent in bulk via the Volunteers List or individually from a Volunteer's Profile.
Google Translate Integration:
Prospective and renewing volunteers will have the ability to access Google Translate directly on the Volunteer Application form, this new feature will allow for them to translate and complete the application in their preferred language.
Volunteers List Enhancements
Filter Pending Applications by Building:
Users with access to multiple buildings will have the ability to filter the Pending tab by building on the Volunteers page. This will allow users to view pending applications for multiple buildings, without needing to manually switch buildings within Visitor Management.
Send Bulk Email Notifications:
All users will be able to bulk send one-way email messages to approved Volunteers directly from the Approved Volunteers list.
Bulk Delete Approved Profiles:
District Admins and District Volunteer Coordinators will be able to bulk delete profiles directly from the Approved Volunteers list. This will allow for outdated profiles to be deleted from the list, without needing to individually delete each profile.
Volunteer Event Tracking
Enhanced Bulk Event Upload Template:
All users will see that the template for Bulk Volunteer Event Hour Uploads is updated with pre-populated data from past events. Allowing users to quickly select past events from a dropdown and then select names from the list of volunteers that registered for the selected event.
Issues Resolved
- Unable to open Duplicate Profile notifications for certain guardians.
- Unable to view the Volunteer Information page of certain Volunteer Applications.
- SIS staff unable to create their account for the Visitor Check-in Mobile App.
- Connectivity issues for users logged in via SSO.
- Slow loading times when checking in a Visitor on Staff-Assisted stations.
