Feature Overview: Rapid Alarm, Roll Call & Reunification in EM
Discover the latest enhancements to Roll Call & Reunification in EM, designed to ensure accurate accountability during an incident as well as student & guardian reunion after an incident.

Activating an Alarm using the Web/desktop Application
Any EM user can promptly activate an emergency alarm from the web/desktop application:
- Log in to EM
- Click the Alarm button in the left hand corner of the navigation menu.
- Select an alarm type.
- If the user has access to more than one site, they will then have the ability to select the site(s) they would like that alarm to be activated for.
- Click Activate alarm. (If a custom alarm type with a countdown applied was selected, then a 5 second countdown with an option to override will appear after this step)
- Once the alarm has been activated, the user will be prompted to select and confirm their Roll Call status.

At this point, both the Homepage & Rapid Alarm will update to reflect the active alarm(s). All staff/EM users associated to the site in which the emergency alarm was activated for will receive an alert.
Additionally, any EM user can promptly activate a drill or training alarm from the web/desktop application:
- Log in to EM
- Navigate to Rapid Alarm
- Click the Practice button near the top right corner of the Rapid Alarm page.
- Select the mode (Drill or Training) for the alarm.
- Select an alarm type.
- If the user has access to more than one site, they will then have the ability to select the site(s) they would like that alarm to be activated for.
- Click Activate alarm. (If a custom alarm type with a countdown applied was selected, then a 5 second countdown with an option to override will appear after this step)
- Once the alarm has been activated, the user will be prompted to select and confirm their Roll Call status.

At this point, both the Homepage & Rapid Alarm will update to reflect the active alarm(s). All staff/EM users associated to the site in which a drill alarm is activated for will receive an alert but training alarms will not send any alerts.
Activating an Alarm using the Mobile Application
Any EM user can use the mobile application without having to spend time figuring out how and where to activate an alarm. An emergency, drill or training alarm can be activated from the mobile application using these steps:
- Log in to EM mobile app.
- From the home screen, hold and slide the Activate alarm slider to the right. (An alarm can also be activated from the Activate alarm button in the Rapid Alarm & Flipchart screens)
- Select an alarm mode. (Emergency, Drill or Training)
- Select an alarm type.
- If the user has access to more than one site, they will then have the ability to select the site(s) they would like that alarm to be activated for.
- Select Activate alarm. (If a custom alarm type with a countdown applied was selected, then a 5 second countdown with an option to override will appear after this step)
- If only one alarm was activated, the user will be navigated directly to the details of that alarm. If multiple alarms were activated, the user will be navigated to Rapid Alarm where a list of all active alarms will be displayed.

At this point, both the Home screen will update to notify the user of any active alarm(s) in their site(s), and Rapid alarm will update to display the active alarm(s). If the alarm mode was either Emergency or Drill, all staff/EM users associated to the site in which the alarm was activated for will receive an alert. Training alarms will not send any notifications.

Viewing an Active Alarm using the Web/Desktop Application:
Once an alarm has been activated, both the web/desktop and mobile application will display alarm details to help users navigate to the alarm as quickly as possible.
Using the EM web/desktop application:
The web/desktop application will display all active alarms on both the homepage as well as in Rapid Alarm:


Users can click Go to Alarm either from the alarm list in Home screen or Rapid Alarm to view the Active Alarm Details page for any active alarm. All information on this page will update in real time throughout the alarm. The active alarm details page will display specific information depending on each users' role type (Administrator, View-Only/Limited Access):
- View-only and Limited Access users will see alarm activation details, as well as a timeline of what workflow is currently active. These users will be able to navigate in and out of Roll Call & Reunification from this page once these workflows are activated by an Administrator.
- Administrators will see all of the information that View-only & Limited access users see, as well as the options to activate/end Roll Call & Reunification, progress statistics for Roll Call & Reunification, and the ability to end the alarm for all users in that site.
View-only & Limited Access user view:

If an Alarm Type that was activated includes an automatic Roll Call as part of its settings, all users will be able to go into the Roll Call Details page and begin accounting for classes, students, staff and visitors*. If the Alarm Type does not include an automatic Roll Call as part of its settings, Administrator users will be able to activate Roll Call directly from the Active Alarm Details page using the Activate Roll Call button.
Only Administrator users can activate Reunification; and they can do so directly from the Active Alarm Details page using the Activate Reunification button. Once activated, users can go into the Reunification Details page and participate as directed.
The Active Alarm Details page will display statistics for Roll Call & Reunification to provide insight into the on-going alarm. View-only and Limited access users will not be able to see these statistics and can only navigate in and out of both Roll Call & Reunification from this page.
All users will have the ability to use the messaging feature near the bottom of the Active Alarm Details page.
To go back or return to the list of alarms, users can use the breadcrumb links at the top of the page, or they can click on Home or Rapid Alarm from the left-hand navigation menu.
Viewing an Active Alarm Using the Mobile Application:
The mobile application will provide an indication on the home screen anytime there is an active alarm. When there is at least one active alarm, the home screen will display of the number of active alarm(s) with a View in Rapid Alarm navigation button to be able to navigate directly to the alarm details. All active alarms will be displayed in Rapid Alarm.

Users can click View in Rapid Alarm from the home screen or use the navigation menu to go into Rapid Alarm, where where a list of active alarm(s) will be displayed. Rapid Alarm will display all active alarm(s) for all site(s) each user has access to. If there are multiple alarms active, emergency alarms will always be displayed at the top of the list, then sorted by most recently activated. Next, drill alarms will be displayed and sorted by most recently activated. Finally, training alarms will be displayed towards the end of the list and sorted by most recently activated
Users can click Go to Alarm to view the Alarm Details for any active alarm. All information on the Alarm Details screen will update in real time throughout the alarm and will display specific information depending on each users' role type (Administrator, View-Only/Limited Access):

- View-only and Limited Access users will see alarm activation details, as well as navigation buttons to go in and out of Roll Call & Reunification once these workflows are activated by an Administrator.
- Administrators will see all of the information that View-only & Limited access users see, as well as an Active Alarm Details button (which will allow Administrators to activate/end Roll Call and/or Reunification & view progress statistics for these workflows) as well as the ability to end the alarm for all users in that site
Roll Call
While in Roll Call, a user can:
- Account for themselves using the options I am safe, I need assistance, I am not on campus.
- Account for others (classes, students, staff and visitors*) using the options Accounted for, Needs Assistance, Not on Campus, and Exception.
An additional status option, Transfer to Reunify, can be used for students, only when Reunification is activated, and will be used as an additional status to denote a student is being transported to a reunification site (i.e., a student marked as accounted for can also be marked transfer to reunify once reunification has been initiated)
Using Roll Call on the Web/Desktop Application
Accounting for classes
- Users that are teaching staff will see a list of only their classes in the My Classes view, and can select a class to populate the rostered students. Administrator users will see all rostered classes for that site.
- Every user will have a class named Custom List. Anytime a user accounts for a student that does not belong to any of their rostered classes, that student will automatically be added to that user’s custom list which can be submitted as a class.
- Statuses for each student in the class can be selected individually, or, when enabled in the alarm type settings, all students in a class can be marked as accounted for with one click.
- Once roll call is completed on a class, the class can be submitted which will then appear on the list of submitted classes on the Active Alarm Details page for Administrator use

Other accountability options:
Accounting for students
- All users will see a list of all students that are enrolled at that site in the Students view, and can search and/or scroll to find and account for each student
- Using the 3 dot actions to the right of each student row, users can save a note about that student, as well as view that student's Roll Call history.
Accounting for staff
- All users will see a list of all staff that are associated to that site in the Staff view, and can search and/or scroll to find and account for each staff member
- Using the 3 dot actions to the right of each staff row, users can save a note about that staff member, as well as view their Roll Call history.
Accounting for visitors
- If Navigate360's Visitor Management is also in use, all users will see a list of any visitors that have checked in at that site in the Visitors view, and can search and/or scroll to find and account for each staff member
- Using the 3 dot actions to the right of each visitor row, users can save a note about that staff member, as well as view their Roll Call history.
Using Roll Call on the Mobile Application:
Accounting for classes
- Users that are teaching staff will be able to select and perform a roll call on any class using the Classes view by tapping select a class. Teaching staff will be able to see their rostered classes in the My Classes list, and all other rostered classes for that site/building in the Other classes list.
- Every user will have a class named Custom List. Anytime a user accounts for a student that does not belong to any of their rostered classes, that student will automatically be added to that user’s custom list which can be submitted as a class.

Other accountability options:
Accounting for students

Accounting for staff
- All users will see a list of all staff that are associated to that site in the Staff view, and can search and/or scroll to find and account for each staff member
- Using the arrow icon to the right of each staff member's name, users can save a note about that staff member, as well as view their Roll Call history.
Accounting for visitors
- If Navigate360's Visitor Management is also in use, all users will see a list of any visitors that have checked in at that site in the Visitors view, and can search and/or scroll to find and account for each staff member
- Using the arrow icon to the right of each visitor's name, users can save a note about that staff member, as well as view their Roll Call history.
Reunification
While in Reunification, a user can:

View/add students to the reunification list
- Any students marked Transfer to Reunify during Roll Call will automatically show on the student reunification list for staff to mark as checked in once appropriate
- Any students not already on the reunification list can be added to the list and checked in all in one workflow

Check guardians into Reunification
- Guardians can be added to the list and checked in all in one workflow
- Once appearing on the list, each guardian's associated students will be displayed along with their Reunification status

View/manage status of students & guardians
- All status changes will be made on the student view using the options Checked In and Reunified, which will then automatically update the guardian view
- The guardian view will show all student(s) they are connected to using the SIS data, and will provide an overall reunification status as well as student specific reunification status:
Using Reunification on the Web/Desktop Application:
Managing student check-in and reunification
- Users can view and manage the student reunification list by navigating into Reunification and using the Students view
- Students can be searched for and checked into reunification by using the Add student to reunification button
- Comments or notes about the student's well-being or holding location can be typed into the textbox in the Comments section of the student row.
- Using the 3 dot actions to the right of each student row, users can view the student's complete Roll Call & Reunification history, as well as any notes that were added during this alarm. Users can also see the guardians associated to the student which is derived from the Student Information System (SIS)
- The reunification status can be selected for each student on the list once they have a guardian that has also been checked in and safely reunified with the student. This will then update the guardian list to show that guardian as reunified with the student.
Managing guardian check-in and reunification
- Users can view and manage the guardian reunification list by navigating into Reunification and using the Guardians view
- Guardians can be searched for and checked into reunification by using the Guardian Check-in button
- Guardian check-in can be undone using the 3 dot actions to the right of each Guardian row and selecting Undo check-in (Guardians can only be eligible to be un-checked in as long as they have not yet been reunified with any students)
- As students are checked in and marked as reunified from the Students list, the reunification status for both guardians and their student(s) will update in real-time on the Guardians list.

Using Reunification on the Mobile Application:
Managing student check-in and reunification
- Users can view and manage the student reunification list by navigating into Reunification and using the Students view
- Students can be searched for and checked into reunification by using the Add student to reunification button
- Using the arrow icon to the right of each student's name, leave comments or notes about the student's well-being or holding location; as well as view their Roll Call & Reunification history and guardians they are associated with.
- The reunification status can be selected for each student on the list once they have a guardian that has also been checked in and safely reunified with the student. This will then update the guardian list to show that guardian as reunified with the student.

Managing guardian check-in and reunification
- Users can view and manage the guardian reunification list by navigating into Reunification and using the Guardians view
- Guardians can be searched for and checked into reunification by using the Guardian Check-in button
- Guardian check-in can be undone using the arrow to the right of each Guardian row and selecting Undo check-in (Guardians can only be eligible to be un-checked in as long as they have not yet been reunified with any students)
- As students are checked in and marked as reunified from the Students list, the reunification status for both guardians and their student(s) will update in real-time on the Guardians list.

Ending an Alarm
While any user can activate an alarm, only those with an administrator role (set in User Management & Rapid Alarm Settings) can end the alarm. Users who can end an alarm will see an End Alarm button next to the alarm details on both the web/desktop and mobile application.
Ending Reunification will also automatically end the alarm.


After-action Reporting
Users with administrator permissions will be able to see a comprehensive list of past alarms, as well as the details for each past alarm to assist with after-action discussion and reporting. Past alarms can be viewed on the web/desktop application by navigating to Rapid Alarm and clicking on the Past view. This view can be search and filtered to meet each administrator's search criteria.
To the right of each past alarm row, users can click on View past alarm details, which will open a read-only view of the Active alarm details page with alarm activation details, Roll Call & Reunification statistics, class submissions, and the chat history. This information can be exported into a CSV report by clicking the Download button.
