Overview
In Compass, administrators may need to activate or deactivate staff or student accounts throughout the school year. This most often happens during Back-to-School (BTS) setup or when users leave midyear.
Clever/ClassLink users: Account status is managed automatically through nightly syncs with your Student Information System (SIS).
CSV/Manual import users: Account status can be toggled manually in the Compass portal.
🚩NOTE: Inactive accounts are removed from reporting dashboards but remain stored in the system.
Automatic Management with Clever/ClassLink
If your school or district uses Clever or ClassLink:
- In the future (release date TBD), accounts will automatically toggle to ‘Inactive’ when the user is removed from your SIS.
- If a student or staff member is later re-added in your SIS, their Compass account automatically resets to Active during the next sync.
Important: Currently, any manual changes made in Compass will be overwritten by the nightly Clever/ClassLink sync based on the information in your SIS.
⭐Best Practice: Manage account status directly in your SIS.
Manual Management for .CSV/Manual Import Users
If your school or district uses .csv files to manually import users, admins can toggle account status in Compass as needed.
Deactivating a User
Go to Users – From the left-hand navigation menu, select Users.

Search for the User – Choose the user type (staff or student) and search by name.

Toggle Status – Switch the Active/Inactive toggle to Inactive (left/grey).
- This disables the user’s access and removes them from dashboards and reporting.

Confirm – The user will now display an Inactive status in the User Management list.

Reactivating a User
Go to Users – From the left-hand navigation menu, select Users.

Search for the User – Choose the user type (staff or student) and search by name.

Toggle Status – Switch the Active/Inactive toggle to Active (right/green).

Confirm – The user will now display an Active status in the User Management list.

Best Practices & Considerations
- Clever/ClassLink users: Manage accounts in your SIS only; currently, Compass changes will be reset by the nightly sync.
- .CSV users: Use manual toggles for temporary inactivation or to exclude students from reporting.
- Impact of Inactivation: Inactive users cannot log in and will not appear in reporting dashboards, but their historical data remains securely stored.
