If Self-Serve is set up and enabled for Staff, substitutes can use the Self-Serve Kiosk to check in and out of the building. Please see below for how a substitute can check in and out, depending on the selected method:
Barcode/RFID Scanning
If Barcode/RFID Scanning is set on the Self-Serve Set-up page for staff, then substitutes can use a school ID with a barcode or RFID functionality, or an RFID tag to scan to check into the school building by following the below steps:
Check-In - All Substitutes
- Scan the school ID on the barcode scanner or RFID reader at the Self-Serve Kiosk at the building scheduled for their substitution period
- Substitute is now checked into the school building
Check-Out - Non Traveler Substitutes
- Scan the school ID on the barcode scanner or RFID reader at the Self-Serve Kiosk at the building scheduled for their substitution period
- Substitute is now checked out of the school building
Check-Out - Traveler Substitute
- Scan the school ID on the barcode scanner or RFID reader at the Self-Serve Kiosk
- Select a Travel Reason

Check Out for the Day OR Traveling to Another Building OR a Custom Reason set by an Admin
- If a Substitute selects Traveling to Another Building, they will then select building that they are traveling to

Check Out for the Day OR Traveling to Another Building OR a Custom Reason set by an Admin
- Click Check-out
- Substitute is now checked out of the school building
- Note: If a Traveler Substitute does not check out of a building before traveling to the next building, they will be prompted to check out of the prior building while at the current building before they will be able to check into the current building.
Checking in and out of buildings throughout the School District
Traveler Substitutes can use their School ID to check in and out of any building throughout the school district that is supported in Visitor Management.
QR Code from Mobile App
If QR code from mobile app is set on the Self-Serve Set-up page for staff, and a substitute is invited to use the Mobile App, they will be able to use the QR code to scan at the Self-Serve Kiosk by following the below steps:
Check-In - All Substitutes
- One the day of their scheduled visit, the substitute can scan their QR code when they check themselves in at the Self-Serve kiosk with the below steps:
- Click on Staff
- Click on Use QR Code from Mobile App
- Scan the QR code to check into the building
Check-Out - Non Traveler Substitutes
- One the day of their scheduled visit, the substitute can scan their QR code when they check themselves in at the Self-Serve kiosk with the below steps:
- Click on Staff
- Click on Use QR Code from Mobile App
- Scan the QR code to check into the building
Check-Out - Traveler Substitute
- Scan the QR code to check out of the building.
- Select a Travel Reason

- If a substitute selects Traveling to Another Building, they will then select building that they are traveling to

- Click Check-out
- Substitute is now checked out of the school building

Traveler Substitutes can use the QR code from the mobile app to check in and out of any building throughout the school district that is supported in Visitor Management.
Driver's License Scanning
If Scan driver's license is set on the Self-Serve Set-up page for staff, then substitutes can use a driver's license to check into the school building by following the below steps:
Check-In - All Substitutes
- First time scanning
- Select Staff option on the Welcome Page
- Select Scan Driver's License
- Scan the driver's license at the Self-Serve Kiosk
- Review the displayed Substitute name(s) and confirm a match
- Substitute is now checked into the school building
- Subsequent scanning
- Select Staff option on the Welcome Page
- Select Scan Driver's License
- Scan the driver's license at the Self-Serve Kiosk
- Substitute is now checked into the school building
Check-Out - Non Traveler Substitutes
- Select Staff option on the Welcome Page
- Select Scan Driver's License
- Scan the driver's license at the Self-Serve Kiosk
- Substitute is now checked out of the school building
Check-Out - Traveler Substitute
- Select Staff option on the Welcome Page
- Select Scan Driver's License
- Select a Travel Reason

- If a Subsitute selects Traveling to Another Building, they will then select building that they are traveling to

- Click Check-out
- Substitute is now checked out of the school building
- Note: Substitutes that are marked as a Traveler must check out of their current building before traveling to the next building. Otherwise when they attempt to check in at their destination, they will be prompted to check out of the previous building before being able to check in.
Checking in and out of buildings throughout the School District
Traveler Substitutes can use their Driver's License to check in and out of any building throughout the school district that is supported in Visitor Management.
Google Translate
Google Translate is available to assist non-English-speaking substitutes. To use this feature, visitors can click Select Language at the bottom of the Self-Serve main page. Once they choose their preferred language, the page will refresh and they can complete the needed steps to check in or out of the building.
