Learn how to efficiently import users into your Compass program using a .csv file with this step-by-step guide.

 

SIS Integration with Compass via .csv Files

 

Integrating your Student Information System (SIS) with Clever or ClassLink, enables a seamless connection to Navigate360 Compass Curriculum. This integration ensures that staff and student data is securely and automatically synced, streamlining user management and supporting critical features.

 

⭐Clever is a free service for schools and districts in the United Stated and Canada, with no charge to utilize the Clever platform. 

  • For organizations syncing user data and signing-on through Clever or ClassLink, new students and teachers, as well as role and class changes, will be updated in the Compass platform within 48-72 hours of being added to your SIS.  
  • If you're an existing Compass customer, and would like to establish a data sync through Clever or ClassLink, please reach out to tech@navigate360.com for support.
  • If you've completed Compass configuration and the data sync process using Clever or ClassLink, you do NOT need to import .csv files.

 

🚩If your organization doesn't have Clever or ClassLink, your IT department can also upload users to Compass Curriculum through a manual management process using .csv files.

You must have district or school admin user permissions to import files.  

 

⚠️When using a manual upload process, new .csv files will need to be imported each year to update class rosters, student grade levels, etc., AFTER the summer maintenance window⚠️

 

For new students and staff enrolled during the school year, single user accounts can be added following the steps linked here:

Step 1: Format the user list using one of the templates linked below and save in a .csv (comma separated) format. Each user role requires a separate file.

Data Requirements for Successful Import:

– Email addresses must be unique for both students and staff. We recommend using district email addresses as the username. 

– If students do not have email addresses, the student ID can be used in both the AID and username columns. Then, delete the email column.

– Existing email addresses show as existing users during import and will not be duplicated. Instead, corresponding names, grades, classes, schools, and passwords will be updated.

– The grade column is only required for students, and must be entered as a number.  
Example: Kindergarten should be entered as “0”, and pre-K should be entered as “-1”. 

– The class column must be included on instructor and student files for teachers to view their roster. The class names must match in the instructor file and the student file. 
Example: “Algebra 1” on the student file will not match with “Alg1” or “Algebra1” on the instructor file.

– Use the school_name column to indicate the campus for each student, instructor, and school admin. School names must match in all files.  If importing district admin, delete the school name column. 
Example: “Navigate HS” in a student file will not match with “Navigate High School” on a instructor or school admin file.

Step 2: Click “Users” from the left-side menu. Select “Import Users”

 

Step 3: Open the drop down and select the user type you are importing. 

 

Step 4: Click "Upload File" and select the .csv roster for the role you are importing. Once uploaded, click “Next”.

 

Step 5: Review the file summary. If the information is correct, click “Next”. If the information is incorrect, click “Start Again” to import a corrected file.

Step 6: Verify the pre-selected username field is correct or click the drop down to select another field. Then, click “Next”.

– Email addresses must be unique for both students and staff. We recommend using district email addresses as the username. 

– If students do not have email addresses, the student ID can be used in both the AID and username columns. Then, delete the email column.

 

 

 

Step 7: Select “Password” from the drop down or create a password. Passwords should include at least six characters, at least one capital letter, and at least one number. Then, click “Next”. 

We STRONGLY recommend setting a password. Setting the password allows you to easily convey credentials to any user. 

 

 

 

Step 8: Verify the column headers listed on the left are mapped to the correct Compass data field listed on the right. Use the drop down menus to make any corrections. Click "Next" once verified.

 

Step 9: Use the sample provided to verify that student information will be imported correctly. Click "Finish” once verified.  

A Username and AID are required for users without an email address.

 

Step 10: The green banner indicates a successful import. Click Show Import Details to open the import summary. 

 

Verify Successful Import

Verify a successful import by clicking on the imported user role under “Users” and click the appropriate user role. User information can also be edited here.
