Enhanced Filters

Visitor Reports - Visitor Type (Multi-select):

All users can filter reports by visitor type on the Visitors Reporting tab. Users will see that the list is populated with all visitor types that have been chosen by visitors for the selected buildings and will be able to search (including multi-select) for the specific Visitor type(s). Users will be able to export the data for the selected Visitor type(s).

 

Staff Reports - Job Title (Multi-select):

All users can filter reports by job title on the Staff Reporting tab. Users will see that the list is populated with the pre-existing job titles, along with any manually created job titles that have been saved to staff profiles for the selected buildings and will be able to search (including multi-select) for the specific job title(s). Users will be able to export the data for the selected job title(s).

 

Current School Year & Prior School Year Pre-Sets:

All users can filter reports based on pre-set date ranges for the current school year or prior school year on all Reporting tabs. Users will see the new pre-set options available within the Date Range Picker. Users can select the Current School Year option to view all data from July 1st - Year-To-Date (including the current day), and the Prior School Year option to view all data from July 1st - June 30th of the previous school year. Users will be able to export the data for the selected date range pre-sets.

 

Updated Name Search Field:

All users will see that the name search field only displays names that match the selected report filters. This applies to Visitors, Students, Staff, Substitutes, and Volunteers Reporting tabs.

 

Updated Report Layouts and Export File Types

Visitor Reports - Exported Report Grouped by Name:

All exported reports for multiple visitors will be grouped by name. Users will see the following data for each visit on the report:

  • Check-in Date
  • Check-in Time
  • Check-out Date
  • Check-out Time
  • Association
  • Visitor Type
  • Reason for Visit
  • Building
  • Check-in Method
  • Person of Concern

 

Student Reports - Exported Report Grouped by Name:

All exported reports for multiple students will be grouped by name. Users will see the following data for each check-in/check-out event on the report:

  • Event Type
  • Date
  • Time
  • Type
  • Guardian Name
  • Reason
  • Building
  • Grade
  • SIS ID
  • Student ID

 

Substitute Reports - Substituting For Column:

All users will see a new Substituting For column added to the substitute time sheets metric on the Substitutes Reporting tab (also displayed on the Scheduled Substitute Visits tab on the Staff page). Users will see that the column is populated with the name of the teacher being substituted for, selected while scheduling the substitute’s visit and at check-in.

 

Volunteer Reports - Volunteer Time Sheet:

All users will see a new volunteer time sheets metric on the Volunteers Reporting tab. Users will see the time sheet populated with all Volunteer visit data for the selected building(s) and date range.

 

Volunteer Reports - Exported Report Grouped by Name:

All exported reports for multiple volunteers are grouped by name. Users will see the following data for each visit on the report:

  • Check-in Date
  • Check-in Time
  • Check-out Date
  • Check-out Time
  • Event
  • Hours Served
  • Building

 

Updated Time Tracking for Staff, Substitutes, and Volunteers Reports:

All users will see increased accuracy for visit time calculations for completed visits on the Time Sheet metric for Staff, Substitute and Volunteer Reports. Users will see accurate results for completed visits that are less than an hour in length, as well as visits that are multiple hours and a fraction of an hour in length. Users will also see dashes and a tool tip for all active/current visits on Staff, Substitutes, and Volunteers Reporting pages and exports.

 

All Reports - New Export File Types(CSV & PDF):

All users will have the option to export reports to CSV and PDF, along with the existing XLSX file type. These file type options apply to Visitors, Students, Staff, Substitutes, and Volunteers Reports. If the report data is split into multiple pages when exporting to PDF, users will see that the report headers are repeated on every page.

 

Updated Metric

Visitor Report Metrics: Check-in Method Metric:

All users will see an updated Check-in Method metric on the Visitors Reporting tab. Allowing users to see if visitors were checked in via Manual Check-in, ID Scan, QR Code, or an existing Visitor Profile.

 

New Scheduled Report Email

Weekly Staff Time Card:

All users can set an option to receive Weekly Staff Time Card reports via Email from their user profile. If the option is selected, users will receive a PDF every Monday including time card totals for all staff from the previous week.

 

Updated Staff Management

Export Staff List:

All users can export a staff list from the Staff page to view all staff assigned to a building, even if they have not checked in before. This export pulls all staff profiles from the Active and Inactive lists. Users will see the following data on the export:

  • Location of the staff list
  • Total number of staff
  • Staff Name
  • Staff Type
  • Job Title
  • Staff ID
  • Last Visit
  • Status

 

New Barcode/RFID Auto Mapping

Students:

All users can choose to auto map Student IDs to the Barcode/RFID field for all student profiles. Users will see the following after initiating the auto mapping process from the Students page:

  • User will see a banner on the top of the page stating that the auto mapping is in process.
  • When the automapping is complete, the banner will be removed and users will see a toast message displaying the total number of IDs mapped to Barcode/RFID. Admin users will also see an entry on the activity log for the completed auto mapping.

 

Staff:

All users can choose to auto map Staff IDs to the Barcode/RFID field for all staff profiles. Users will see the following after initiating the auto mapping process from the Staff page:

  • User will see a banner on the top of the page stating that the auto mapping is in process.
  • When the automapping is complete, the banner will be removed and users will see a toast message displaying the total number of IDs mapped to Barcode/RFID. Admin users will also see an entry on the activity log for the completed auto mapping.

 

Updated Activity Log Events

Security Events:

Admin users can see events in the Activity Log showing when the Notify Security feature was used, who sent the alert, and which users were sent the notification. If the alert was sent to multiple recipients, admin users will see a single event entry and can view the full list of recipients from a chip-style dropdown. Admin users will see separate event entries for Text and Email notifications sent from the same event.

 

Barcode/RFID Import and Mapping Events:

Admin users will see events in the Activity Log after importing or auto mapping of Barcodes/RFIDs has been completed for Students and Staff.

 

Staff Job Title Events:

Admin users can see events in the Activity Log showing that a staff profile’s Job Title has been updated. If job titles are updated for multiple staff profiles in bulk, admin users will see separate event entries for each profile.

 

Substitute Activation/Deactivation Events:

Admin users can see events in the Activity Log showing that a Substitute Profile was Activated or Deactivated. If multiple substitute profiles are activated/deactivated in bulk, admin users will see separate event entries for each profile.
