When a visitor scans their ID to check into the building, Visitor Management will check for any potential duplicate profiles in the system. Visitors can be flagged as having a potential duplicate profile in the below scenarios:

  • Matching with an existing Visitor Profile:
    • If a visitor checking in has the same First Name, Last Name, and Date of Birth of another Visitor Profile
  • Matching with a SIS Contact/Guardian:
    • If a visitor checking in has the same First Name and Last Name of a Student Contact record that was imported into Visitor Management via the SIS Sync
       

Visitor Management allows District and Building Admins to configure how potential duplicates should be handled during the Visitor Check-in workflow via the Visitor Check-in Settings admin page. Depending on whether the Duplicate Profile Check Process has been set to All Duplicates or High-risk Duplicates Only (click here for more information), users will be able to review and resolve duplicate profiles during or after the check-in workflow.

Please see the below steps on how to merge duplicate profiles, based on the Duplicate Profile Check Process that has been enabled by an admin:

Duplicate Profile Check Process set to: All Duplicates 

Duplicate Profile Workflow:

When a potential duplicate profile is found during a Visitor Check-in, a VM User will need to review the possible duplicates before the visitor is allowed to check into the building.

  1. If a user is checking a visitor in on the Staff-Assisted station:
    1. User will see the Duplicate Profile Found popup window is opened automatically for review
  2. If a visitor is checking in on a Self-Serve kiosk:
    1. Visitor will be redirected to the front desk for assistance
    2. VM User will see a notification banner at the top of the Staff-Assisted station. User will click the name in the banner to open the Duplicate Profile Found popup window for review

Merging Duplicate Profiles or Marking as Not a Match:

  1. User will see below info on the Duplicate Profile Found window:
    1. Profile from ID Scan
      1. User will see the information from the ID that was just scanned
    2. Matched with Duplicate Profile(s)
      1. User will see the existing profile(s) listed, that the ID scan was matched with as a possible duplicate
  2. If the profiles are a match, the user will perform the below actions to merge the profiles:
    1. Select the matching Profile Card from the list
    2. Click Merge Selected & Continue
      1. This option will merge the duplicate details into a single profile, using the picture taken as part of the most recent check-in.
  3. If the profiles are not a match:
    1. User will click Use Profile from ID Scan & Continue
      1. This option will create a new Visitor Profile using the details from the ID that was just scanned and will no longer be flagged as a potential duplicate for the profile(s) that it was matched with.
         

NOTE: This action cannot be undone. Make sure to verify prior to completing this process.

 
 
 

Duplicate Profile Check Process set to: High-risk Duplicates Only

High-Risk Duplicate Profile Workflow:

When a potential duplicate profile is found during a Visitor Check-in and the matching profile is tied to a security-related flag (Sex Offender Match, Blocklist, Custody Instructions, or High Importance Note), a VM User will need to review the High-risk possible duplicates before the visitor is allowed to check into the building.

  1. If a user is checking a visitor in on the Staff-Assisted station:
    1. User will see the Duplicate Profile Found popup window is opened automatically for review
  2. If a visitor is checking in on a Self-Serve kiosk:
    1. Visitor will be redirected to the front desk for assistance
    2. VM User will see a notification banner at the top of the Staff-Assisted station. User will click the name in the banner to open the Duplicate Profile Found window for review

  1. User will see below info on the Duplicate Profile Found window:
    1. Profile from ID Scan
      1. User will see the information from the ID that was just scanned
    2. Matched with Duplicate Profile(s)
      1. User will see the existing High-risk profile(s) listed, that the ID scan was matched with as a possible duplicate
  2. If the profiles are a match, the user will perform the below actions to merge the profiles:
    1. Select the matching Profile Card from the list
    2. Click Merge Selected & Continue
      1. This option will merge the duplicate details into a single profile, using the picture taken as part of the most recent check-in.
  3. If the profiles are not a match:
    1. User will click Use Profile from ID Scan & Continue
      1. This option will create a new Visitor Profile using the details from the ID that was just scanned and will no longer be flagged as a potential duplicate for the profile(s) that it was matched with.
         

Low-Risk Duplicate Profile Workflow:

When a potential duplicate profile is found during a Visitor Check-in and the matching profile does not have a security-related flag, the visitor will be allowed to complete their check-in without interruption. A VM User will then be able to review and resolve the potential duplicate profiles at a later time from the Visitor's Profile.

  1. User will see that an icon is added to Visitor Profiles with potential duplicates from a previous check-in that are pending review
  2. On the All Visitors → List View, users will see a Potential Duplicate(s) Only toggle at the top of the list
    1. Enabling this toggle will filter the list to only display profiles with potential duplicates needing to be reviewed
  3. User will be able to click the icon for a Visitor to open the Duplicate Profile(s) Found window for review

Merging Duplicate Profiles or Marking as Not a Match:

  1. User will see below info on the Duplicate Profile(s) Found window:
    1. Profile from Visitor Screening
      1. User will see the profile that was created at their first check-in
    2. Matched with Duplicate Profile(s)
      1. User will see the existing Low-risk profile(s) listed, that the ID scan was originally matched with as a possible duplicate
  2. If the profiles are a match, the user will perform the below actions to merge the profiles:
    1. Select one or more of the matching Profile Cards from the list
    2. Click Merge Selected
      1. This option will merge the duplicate details into a single profile, using the picture taken as part of the most recent check-in.
      2. Any profiles that were not selected from the list will be saved as Not a Match and will no longer be flagged as a potential duplicates during future check-ins.
  3. If the profiles are not a match:
    1. User will click Not a Match
      1. This option will save the decision to mark the profiles as unique Visitors and will no longer flag the profiles as a potential duplicates during future check-ins.
         

NOTE: This action cannot be undone. Make sure to verify prior to completing this process.
