When a visitor checks into the building, Visitor Management will check for any possible duplicate profiles by matching first name, last name and date of birth. The purpose is to check any existing profile that already has some of the same information as a newly checked-in visitor.

Users will see that a possible duplicate profile can occur in one of the below scenarios:

  • Populated list from SIS Guardian Contacts

In the case that guardians for a student are synced into Visitor Management from their Student Information System, a duplicate profile warning will display, if a visitor checking in for the first time is an emergency contact.

  • Populated list from Existing Profiles

In the case of a visitor checking in with the same first name, last name, and date of birth of another visitor. 

How to Merge Duplicate Profiles

  1. Users will see a window display that states Duplicate Profile Found
  2. Users will see the two possible duplicate profiles
    1. Profile from ID Scan
    2. Duplicate Profile
  3. Users will see two options:
    1. Use the Profile from ID Scan - This option will replace the duplicate profile with the details from the Profile from ID scan
    2. Merge Selected & Continue - This option will merge the duplicate details from both profiles, using the picture taken as part of the most recent check-in.

This action cannot be undone. Make sure to verify prior to completing the merge process.
