District Admin, Building Admins and Staff users can assist guardians in the event that they hit a security check when attempting to check a student in late or out early. See below for the security check types and how they are resolved by a VM user.  

Resolution Workflow: Guardian-Initiated Student Late Check-in

Security Checks:

Duplicate Profile

If a possible duplicate profile is found during a Guardian-initiated Student Late Check-in on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated late check-in: Possible duplicate profile found for [Guardian Name].


Users can click on the name in the banner to open the Possible Duplicate window and perform the below actions:

  1. Users will be able to compare the profile that was created from the ID scanned on Self-Serve and the existing Visitor Profile(s) it was matched against
  2. If the matching profiles are for the same individual, users can:
    1. Select the matching profiles
    2. Click Merge Selected & Continue
      1. The matching profiles will be merged and the user can continue the late check-in workflow
  3. If no true matches are found, users can: 
    1. Click Use Profile from ID Scan & Continue
      1. User can continue the late check-in workflow without merging the profiles
 
 

No Linked Students

If no students are linked to a guardian's Visitor Profile when attempting a Guardian-initiated Student Late Check-in on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated late check-in: No students linked to [Guardian Name].


Users can click on the name in the banner to open the Link Guardian to Student(s) window and perform the below actions:

  1. Users will be able to search for students in the current building needing to be linked to the guardian and select their relationship type.
  2. Users can click Link Student to have them added to the guardian's Visitor Profile
    1. Users can repeat this process to link all needed students to the guardian
  3. Users can click the Cancel button to delete the Guardian-initiated Late Check-in attempt, if needed
  4. Users will click Confirm & Continue after linking the needed students and continue the Late Check-in workflow
 
 

Staff-Assisted steps to complete Student Late Check-in

After resolving the security checks above, users will see the Late Check-in window and perform the below actions:

  1. Select all needed students to be included in the late check-in
  2. Select the Late Check-in Time 
    1. The current time will automatically populate, but users can adjust the time if needed
  3. Select the Reason for checking in late
  4. Select the Type 
    1. Excused or Unexcused
  5. Print Tardy Slip(s) (Optional)
    1. Users can check this box to print a Tardy slip for the student(s)
  6. Click Confirm Late Check-in to complete the late check-in
    1. Note: if the Print Tardy Slip(s) option was selected, a tardy slip will print for each student included in the late check-in
 
 

Resolution Workflow: Guardian-Initiated Student Early Check-out

Security Checks:

Duplicate Profile

If a possible duplicate profile is found during a Guardian-initiated Student Early Check-out on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated early check-out: Possible duplicate profile found for [Guardian Name].


Users can click on the name in the banner to open the Possible Duplicate window and perform the below actions:

  1. Users will be able to compare the profile that was created from the ID scanned on Self-Serve and the existing Visitor Profile(s) it was matched against
  2. If the matching profiles are found to be the same individual, users can:
    1. Select the matching profiles
    2. Click Merge Selected & Continue
      1. The matching profiles will be merged and the user can continue the early check-out workflow

No Linked Students

If no students are linked to a guardian's Visitor Profile when attempting a Guardian-initiated Student Early Check-out on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated early check-out: No students linked to [Guardian Name].


Users can click on the name in the banner to open the Link Guardian to Student(s) window and perform the below actions:

  1. Users will be able to search for students in the current building needing to be linked to the guardian and select their relationship type.

Potential Sex Offender

If a potential sex offender match is found during a Guardian-initiated Student Early Check-out on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated early check-out: Verification needed for [Guardian Name].


Users can click on the name in the banner to open the Possible Sex Offender Match window and perform the below actions:

  1. Users can use the hyperlinks at the top of the window to quickly send an alert to the school's security team or view the district guidelines on allowing matched individuals to check out students
  2. Users will be able to review and compare the information pulled from the ID or QR Code scanned on Self-Serve and the record(s) from the National Sex Offender Database with the same First Name, Last Name, and Date of Birth
  3. If the results are a False Positive, users can click Not a Match
    1. The possible match will be removed from the guardian's Visitor Profile and the user will continue the Early Check-out workflow
  4. If the results are a True Positive, Users can click Confirm Match
    1. The user will be shown the confirmed Sex Offender Match window, before being allowed to continue
 
 

Confirmed Sex Offender

If a confirmed sex offender match is found during a Guardian-initiated Student Early Check-out on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated early check-out: Verification needed for [Guardian Name].


Users can click on the name in the banner to open the Sex Offender Match window and perform the below actions:

  1. Users can use the hyperlinks at the top of the window to quickly view the district guidelines on allowing matched individuals to check out students
  2. Users will be able to review the information from the guardian's Visitor Profile and the record(s) from the National Sex Offender Database that were previously confirmed as a match by a VM user
    1. If the Sex Offender Match was confirmed by mistake, users can click Remove Match
      1. User will be redirected to the Possible Sex Offender Match window and can select Not a Match to continue the Early Check-out workflow
  3. Users will click I understand the district policy
    1. The user will be shown a confirmation window to decide whether to continue or cancel the Student Early Check-out
      1. Users can click Cancel Student Early Check-out to deny the Guardian-initiated Early Check-out attempt
      2. Note: In the event where a student needs to be checked out to a matched individual, users will need to specify the Person Approving the Early Check-out before clicking Confirm & Continue to proceed with the early check-out workflow
 
 

Blocklisted Visitor

If a Blocklisted Visitor match is found during a Guardian-initiated Student Early Check-out on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated early check-out: Verification needed for [Guardian Name].


Users can click on the name in the banner to open the Blocklisted Profile window and perform the below actions:

  1. Users can use the hyperlinks at the top of the window to quickly view the district guidelines on allowing blocklisted individuals to check out students
  2. Users will be able to review the information from the guardian's Blocklisted Visitor Profile
  3. Users can click Cancel Student Early Check-out to deny the Guardian-initiated Early Check-out attempt
  4. Users can click Continue Student Early Check-out to proceed with the early check-out workflow
 
 

Custody Notes

If a guardian has Custody Notes linked to their Visitor Profile, and attempts to select the student during a Guardian-initiated Student Early Check-out on Self-Serve, the VM user logged into the Staff-Assisted station will see the below notification banner appear at the top of their page:

  • Guardian-initiated early check-out: Verification needed for [Guardian Name].


Users can click on the name in the banner to open the Early Check-out window and perform the below actions:

  1. Users will see the student(s) selected by the guardian on Self-Serve and the Custody Notes listed below the student's name
  2. Users can click Cancel to deny the Guardian-initiated Early Check-out attempt
  3. In the event where the Early Check-out is permitted, users can complete the workflow by performing the below actions:
    1. Update the selection of students to be included in the early check-out
    2. Select the Early Check-out Time 
      1. The current time will populate automatically, but users can adjust the time if needed
    3. Person Checking Out Student(s)
      1. The guardian's name will be populated automatically and will not be editable 
    4. Select the Reason for checking out early
    5. Print Early Dismissal Slip(s) (Optional)
      1. Users can check this box to print an early dismissal slip for the student(s)
    6. Click Confirm Early Check-out to complete the early check-out
      1. Note: If the Print Early Dismissal Slip(s) option was selected, an early dismissal slip will print for each student included in the early check-out
 
 

Staff-Assisted steps to complete Student Early Check-out

After resolving the security checks above, users will see the Early Check-out window and perform the below actions:

  1. Select all needed students to be included in the early check-out
    1. If the guardian has Custody Notes linked for any of their students, users will see the Custody Note listed below the student's name
  2. Select the Early Check-out Time 
    1. The current time will populate automatically, but users can adjust the time if needed
  3. Person Checking Out Student(s)
    1. The guardian's name will be populated automatically and will not be editable 
  4. Select the Reason for checking out early
  5. Print Early Dismissal Slip(s) (Optional)
    1. Users can check this box to print an early dismissal slip for the student(s)
  6. Click Confirm Early Check-out to complete the early check-out
    1. Note: If the Print Early Dismissal Slip(s) option was selected, an early dismissal slip will print for each student included in the early check-out
