⏹️ Set up Hall Pass for the new school year: 

• Update your School Calendar under “Settings” then “School information” and “School Calendar." Add the dates for your academic year and set the “Grading Period Type."
• Update your In-Session Calendar and identify dates you are out of school for breaks. 
• Set up Contact Roles under “Settings” then “School information” and “Contact Roles."  Here you will edit and confirm contacts.
   

⏹️ Roster students and staff:

• For those using Clever or ClassLink: If your school syncs data with your SIS via Clever or Classlink, don't forget to navigate to the student tab once rosters are finalized to import your students for the new school year.
• For those manually rostering: Hall Pass will remove students from your highest grade from the previous school years and move all other students up a grade to prepare for the new year then mark all the students “inactive.” Uploading your entire roster will reactivate the students from the previous year and add the new students. Or, if you prefer, you can upload the new students and your lowest incoming grade and reactivate your returning students.
   

⏹️ Print ID cards. As long as student IDs have not changed, you can reuse ID cards from previous school years. If IDs have changed or if you have new students, print new ID cards for the new school year.

⏹️ Update staff permissions. Select the “Staff” tab to assign individual permissions or multiple permissions at the same time. 

⏹️ Update Hall Pass settings. There are many settings admins can customize within the system. Select the “Settings” tab and “Hall Pass” to add or edit settings. Please note, all settings carry over from the previous year.

• Locations List: Selecting this option will allow for staff to add a location when putting a student on a hall pass. Admins can add and/or manage locations and any location specific settings.
• Hall Pass Limits: Limit the amount of passes that can be issued for the building or individual students.
  • Building Limit: Set a maximum number of hall passes that can be issued at the same time for your building.
  • Daily Limit (per Student): Set a maximum number of hall passes that can be issued to a student per day.
     
• Display Hall Passes for Today in Groups: This setting will determine if the number of hall passes issued today for students are visible in the Groups screen.
  • Show Hall Passes Today will display the current number of passes in a small grey bubble on each student in the group.
  • Hide Hall Passes Today will not display the bubble.
     
• Hall Pass Kiosk - Input Student ID: Select this option to allows students to manually enter their Student ID Number to access the kiosk
  • Note: This option may not be as secure as scanning an ID card to access the kiosk.
     
• Hall Pass Menu Tab - Staff Settings: This is where you will determine if your school will use the following features: 
  • Overtime Notifications: Notify additional staff when a student exceeds the allowed hall pass time. The staff member who issued the pass always receives the notification.
  • Scheduled Hall Passes: Allow staff to schedule passes in advance. 
  • Hall Pass Monitoring Access:  Choose who can monitor hall pass activity and receive overtime alerts.
• Quiet Times: Set time frames when hall passes can't be issued. 
• Student-Initiated Hall Passes (SIP): This is where you will determine if students will be allowed to place themselves on a hall pass from the student portal. 
  • Manage Staff: Decide which staff members will be visible to students to select when putting themselves on a hall pass from the student portal.
  • Manage Ineligible Students for Self-Initiated Hall Pass: Decide which students aren't permitted to put themselves on a student-initiated hall pass from the student portal.
• Hall Pass Visibility in Family App: Allow guardians to view a student's hall pass activity in the Family App.
• Hall Pass Waitlist Settings: These settings will allow students to be added to a waitlist when hall passes have met their limits for either the building or location. You can choose if you will allow staff to override the waitlist in case of an emergency.

🔹 Update your student photos and print IDs from directly within Hall Pass. These can be used for scanning on the Hall Pass Staff App or at a Hall Pass Kiosk!

🔹 Practice with test students! This will not record real data and will allow you to test out new/additional features.

🔹 Favorite groups and reports that you plan to use frequently, so you can easily access them from your home page.

🔹 Install and log into the Hall Pass Staff App.

🔹 Print the family letter so that families can be connected through the Hall Pass Family App.

New Feature! – Managing hall pass limits is now more flexible with the introduction of the Hall Pass Waitlist.

When a hall pass is requested, but the maximum number of active passes has already been reached for either the school or a specific location, students can now be automatically placed on a waitlist until a pass becomes available. Check out the details of this release here!
