✨ What’s New in This Release
This release introduces several enhancements designed to improve usability, increase flexibility for staff, and provide deeper insights into student behavior and engagement.
Referrals
👥 Impacted Person Tracking
A powerful new way to understand student interactions:
- New field to track the impacted person (e.g., victim) on both major and minor referrals
- Admins can rename the field to align with district requirements
- New Impacted Student filter on Referrals by Student report provides insights into how often a student is listed as impacted on referrals
- Additional capabilities:
- Option to include impacted student information on referral PDFs
- Impacted person data is now also sent to Behavioral Case Manager (BCM)*
*Behavioral Case Manager (BCM) must be purchased separately and integrated with PBIS Rewards
📱 Display Referral Descriptions in the Family App
- New admin setting allows referral descriptions to be visible to families in the Family App
- Enhances communication and transparency between schools and families
✏️ Edit Staff on Minor Referrals
Referral administrators can now:

Edit staff assigned to minor referrals
- This feature aligns minor referrals with the existing behavior already available for major referrals
⏱️ Additional Referral Updates
Entering referral times is now faster and more flexible:
- Staff can manually enter times with fewer formatting restrictions
- Staff are no longer required to:
- Add a leading zero before the hour (e.g., “8:00” instead of “08:00”)
- Include a space between minutes and AM/PM
Stores & Student Purchasing
🛒 Student Purchasing Limits
Gain more control over student purchases:
- Set limits on item quantities students can purchase
- Configure custom rules such as:
- X number of items every Y number of days
- Staff retain flexibility:
- Limits can be overridden when needed
🧑🏫 Teacher Store Purchasing Toggle
- Teachers can disable student purchasing within their individual store
- Available when student purchasing is enabled at the school level
- Provides more classroom-level control
📸 Add Photos to Store Items (Staff App)
Managing store items just got easier:
- Staff can use their mobile device to:
- Take photos of items
- Upload directly through the staff app
- Eliminates the need to upload images from a desktop
CICO (Check-In/Check-Out)
💬 Display CICO Comments in the Family App
- Admin option to allow:
- Coach and teacher comments to appear in the Family App
- Helps families stay informed and engaged in student progress
Groups
🔗 Merge Synced Groups
Simplify group management:
- Combine multiple groups synced from Clever or ClassLink into a single group
- Benefits include:
- Easier management of synced data
- Continued nightly updates from original integrations
- Original groups remain intact for historical and reporting purposes
Hall Pass Plus
**Important Note** These features require the Hall Pass Plus add-on.
Managing hall pass limits is now more flexible with the introduction of the Hall Pass Waitlist.
When a hall pass is requested, but the maximum number of active passes has already been reached for either the school or a specific location, students can now be automatically placed on a waitlist until a pass becomes available.
🚦Hall Pass Waitlist
When pass limits have been reached, new hall pass requests are automatically added to a waitlist rather than being denied.
⚙️ School-Level Control
Administrators can choose whether to enable or disable the waitlist feature for their school through Hall Pass settings.
👀 Enhanced Visibility for Staff
Staff members can easily see which students are currently on a waitlist from:
- Their Home Page
- The Students Tab
- The PBIS Rewards Mobile App
🏷️ Clear Student Status Indicators
Students who are waiting for a hall pass will display a "Waitlist" label on their student card, making their status easy to identify at a glance.
🔔 Automatic Notifications
When a hall pass becomes available:
- The student and staff member will receive a notification
- They can choose to:
- Start the hall pass
- Cancel the hall pass request
🛠️ Staff Override Option
Staff members can override the waitlist when creating a hall pass, allowing them to place a student directly on a pass when needed.
📅 Scheduled Passes Update
We've also streamlined the process of creating scheduled hall passes.
The date field for Scheduled Passes has been updated from manual entry to a date picker.
🚀 Getting Ready for the Release
No action is required prior to the release. However, we recommend:
- Reviewing new admin settings (especially for Family App visibility features)
- Communicating new capabilities to your staff
- Exploring reports and new data fields after rollout
