PowerSchool Auto Send:

Covers Students, All Contacts and Faculty & Staff Auto Send Set Up

Power School must be enabled and configured at the District level by the SCI Master Admin.

All Contacts mode also needs to be enabled in conjunction with this.

Setting-up SFTP connection on Power School server:

  1. Navigate to PowerSchool admin URL
  2. Sign in with PowerSchool credentials
  3. Click on System
  4. Click System Settings, under Server heading
  5. Click Plugin Management Configuration.
  6. Click Remote Connection Manager, under Function heading.
  7. Click Create Connection button.
  8. A new window to enter SFTP details will open.
  9. Configure this connection with the following values:
    1. Students and All Contacts (The same connection is used for both Students and All Contacts):
      1. Name: SFTP Connection
      2. Description : Leave Blank
      3. Protocol: SFTP
      4. Host: 69.46.26.68
      5. Port: 22
      6. Authentication Type: Password
      7. Username: PSAutoSend
      8. Password: power#123
      9. Confirm Password: power#123
      10. Remote Path: Leave Blank
      11. Allow download: Leave box unchecked
      12. Allow upload: Check box
    2. Faculty and Staff ( 2nd Connection needs to be created if you are also using for Faculty & Staff):
      1. Name: SFTPfacultyConnection
      2. Description : Leave Blank
      3. Protocol: SFTP
      4. Host: 69.46.26.68
      5. Port: 22
      6. Authentication Type: Password
      7. Username: PSfacultyAutoSend
      8. Password: power#123
      9. Confirm Password: power#123
      10. Remote Path: Leave Blank
      11. Allow download: Leave box unchecked
      12. Allow upload: Check box
  10. Once all values have been filled out, click on Test Connection
  11. Before clicking Submit, click on Test Connection and accept key, if prompted
  12. Click on Submit.

Setting-up Auto Send on Power School server

  1. Click System, under Setup on the left menu bar
  2. Click on AutoSend Setup
  3. Click New
  4. Configure this connection with the following values:
    1. Students
      1. Name: SCI Students
      2. Data to Send: Students
      3. When to Execute: Between 7PM and 5AM (12AM is recommended)
      4. Days to Execute: MTWHF (Or can be customized to your schools preference
      5. Turn Execution Off: Leave Box Unchecked
      6. Send Output to: Managed Connection > SFTP Connection
      7. Path: \UniqueSCIDistrictName\psStudents.csv
      8. Field Delimiter: Comma
      9. Record Delimiter: CRLF
      10. Sort Order: 0
      11. First record of file is "number_of_records=" * : Leave Box Unchecked
      12. Include "upload_type=" ** : Leave Box Unchecked
      13. Attendance-Specific Settings: Send any attendance modified in last 24 hrs
      14. Student-Specific Settings: N/A
      15. E-Mail completion report to: Desired Email Recipient
      16. Fields to export: Attendance Field list:
        • Student_Number
          First_Name
          Last_Name
          Grade_Level
          DOB
          SchoolID
      17. Duplicate this AutoSend record to all schools on this server (use only when creating a new AutoSend record): Leave Box Unchecked
      18. Duplicate this AutoSend record to district office (Only valid for Student and Teacher tables; use only when creating a new AutoSend record): Leave Box Unchecked
    2. All Contacts
      1. Name: SCI PG Contacts
      2. Data to Send: Students
      3. When to Execute: Between 7PM and 5AM (12AM is recommended)
      4. Days to Execute: MTWHF (Or can be customized to your schools preference)
      5. Turn Execution Off: Leave Box Unchecked
      6. Send Output to: Managed Connection > SFTP Connection
      7. Path: \UniqueSCIDistrictName\pgAllPSContacts.csv
      8. Field Delimiter: Tab
      9. Record Delimiter: CRLF
      10. Sort Order: 0
      11. First record of file is "number_of_records=" * : Leave Box Unchecked
      12. Include "upload_type=" ** : Leave Box Unchecked
      13. Attendance-Specific Settings: Send any attendance modified in last 24 hrs
      14. Student-Specific Settings: N/A

      6. Send Output to: Manage Connection > SFTPfacultyConnection
      7. Path: \UniqueSCIDistrictName\psFaculty.csv
      8. Field Delimiter: Comma
      9. Record Delimiter: CRLF
      10. Sort Order: 0
      11. First record of file is "number_of_records=" * : Leave Box Unchecked
      12. Include "upload_type=" ** : Leave Box Unchecked
      13. Attendance-Specific Settings: Send any attendance modified in last 24 hrs

    4. Click Submit
    5. Click Run Now to send sample file to School Check IN server (Optional)

Note

UniqueSCIDistrictName refers to the exact name of your district for School Check IN. This can be found at the top of the screen when logged into www.schoolcheckin.net as District/School Admin.

Ex: Apple High School

  • \Apple High School\psFaculty.csv – Correct
  • \AppleHighSchool\psFaculty.csv – Incorrect
  • \AHS\psFaculty.csv – Incorrect

Autosend will run at next scheduled period. An email will be sent to the designated contact on the Power School side, confirming the AutoSend ran. A 2nd email will be sent to the School Check IN District Admin to provide a status of the actual import into School Check IN.
